Troubleshooting: Why Your AI Meeting Bookings Are Failing

This article addresses issues where the AI Agent is unable to finalize a meeting booking in real-time while speaking with a customer.

For an AI Agent to successfully book a meeting directly during a call, the hand-off between the AI and your booking tool (HubSpot, Calendly, etc.) must be entirely frictionless. If the booking fails, it is usually due to a configuration mismatch between the AI’s capabilities and the meeting link requirements.

Here are two possible issues and their solutions:

1. Meeting duration discrepancy

The AI selects a meeting duration based on the parameters set in your dashboard. If this does not align with your calendar's configuration, the sync will fail.

The Issue: The duration selected in the AI's "Meeting Duration" dropdown does not match the specific duration allowed by your meeting link. You can find your meeting duration setup in the booking configurations:

The Solution: Ensure the duration assigned to the AI agent matches the duration of the meeting template in your booking software exactly (e.g., both must be set to 30 minutes).

2. Real-Time Data Gaps

For the AI to book a meeting directly during the call, the process must be frictionless. Our AI currently only carries four specific data points for each customer: name, surname, email address and phone number. 

The issue: If your HubSpot/Calendly or any other link has additional mandatory fields—such as "Company name" - the AI hits a wall. Since it doesn't have that specific info, it cannot bypass the requirement, and the attempt to book the meeting on the call fails instantly.

The solution: To ensure the AI can successfully close the booking while the customer is still on the line, the meeting link must be stripped of any additional mandatory fields.
