How leads are counted and billed

Outcraft counts usage in campaign runs. A campaign run is one lead in one campaign. This article explains what increases the count, what happens at your plan limit, and where you see your usage.
What Outcraft counts
Outcraft increases the count when it sends the first message or places the first call in a campaign run. The channel can be call, SMS, email, WhatsApp, or iMessage. Email-only campaigns count. A call counts when Outcraft places it, even if nobody answers.
Outcraft does not count these events:
Enrolling a lead before the first message or call. A run that is cancelled before that point does not count.
Follow-up steps, later messages, and replies in the same campaign run.
Test calls from the Test button in a campaign. Outcraft marks these leads as test users.
Outcraft counts the same contact again in each new campaign run. This happens when the contact joins a different campaign. It also happens when the contact joins the same campaign again. A lead that you add manually is a normal lead, even with your own phone number. Its runs count.
Warning: Pause Campaign stops new leads only. Leads already in the campaign keep receiving messages, and Outcraft counts their runs.
Example
Your plan has 100 campaign runs for the billing period. One contact joins Campaign A, Campaign B, and Campaign C. Each campaign sends a first message. Outcraft counts 3 runs, and 97 remain.
Campaign A then sends 2 follow-up emails. The count stays at 3. If the contact joins Campaign A again later, the count becomes 4.
When the count resets
The count covers your Stripe billing period. It starts on the billing period start date, not on the first day of the calendar month. The count resets when a new billing period starts.
What happens at your plan limit
Outcraft checks the limit before a new run starts. When your usage is above the limit, Outcraft upgrades your plan to the next larger plan. It charges you the difference between the two monthly prices at once. Outcraft does not ask you to confirm. Your next renewal uses the new price. The new run starts about 15 minutes later.
Outcraft cancels the run when no larger plan exists or the upgrade fails. The event log of the lead shows the reason. When no larger plan exists, Outcraft also turns off the lead source triggers of all your campaigns.
Runs that already sent a first message continue.
Where you see your usage
Open the account menu and click Subscription. The page shows your usage as used / limit Campaign Runs. It shows the count at the time the page loads. Reload the page to update it.
If your account has no Subscription link, contact support in the chat.
Tip: Campaign Runs in Analytics uses a different source and date range. It does not equal your billed count.
Shopify App Store accounts
Shopify bills these accounts. The Subscription link opens your Shopify pricing page. Outcraft sends Shopify one billing event for each campaign run. Outcraft does not check a plan limit or upgrade the plan.
Invoices and refunds
An upgrade creates a Stripe invoice named "Upgrade from X to Y leads per month". For refunds or a lower plan, contact support in the chat.
