Connecting Salesforce
Use Salesforce Leads and Contacts as a lead source for Outcraft campaigns. You set one Salesforce field on a record, and Outcraft starts the campaign.
Before you start
You need a Salesforce user that can authorize an app and add a custom field.
Outcraft connects through the production Salesforce login page. Outcraft has no setting to choose a sandbox.
The campaign objective must be Book Appointment, Send Information, Qualify Lead, or Client Reactivation.
Each Lead or Contact needs a phone number in the
MobilePhoneorPhonefield. Outcraft skips records without a phone number.
Connect Salesforce
Create a campaign.
On the Where Should This Campaign Get Leads From? page, select Salesforce.
Click Connect Salesforce Account.
Sign in to Salesforce and approve the access request.
Outcraft asks for the api, refresh_token, and offline_access scopes. Outcraft then shows Salesforce account connected successfully!
Add Salesforce to the campaign
Open Lead Source → Lead Source Events.
Click Set Up Salesforce For This Campaign.
For Select contact property, keep Create New Property.
For Salesforce Object, keep Contact.
Enter a Dispatches limit. Leave the field empty for no limit.
Enter Cooldown (days). The value must be from 30 to 360.
Click Create.
Turn on the Is Enabled toggle.
Warning: The Is Enabled toggle is off after setup. Outcraft starts no campaign until you turn it on.
Outcraft adds the text field Outcraft Campaign ID (outcraft_campaign_id__c) to the Salesforce Lead and Contact objects. Outcraft reads both Leads and Contacts, although the Salesforce Object list shows only Contact.
The field can be hidden in Salesforce. To show it, add it to the Lead or Contact page layout in the Salesforce Object Manager. Then sign out of Salesforce and sign in again.
Choose how leads enter a campaign
Click How to connect Salesforce events.
Click Copy Campaign ID.
In Salesforce, open a Lead or Contact.
Paste the ID in Outcraft Campaign ID.
Save the record.
You can also set the field with Salesforce automation.
Outcraft checks Salesforce every 3 minutes. Each check reads records that changed in the last 24 minutes. Each check reads up to 500 records for each object. Outcraft skips converted Leads.
Warning: Outcraft starts the campaign when it imports a record for the first time. If the record is already in Outcraft, a new value in the field does not start a campaign.
To filter records, use start conditions. See How to Use Start Conditions.
Stop a campaign
Outcraft does not stop a campaign when you clear the Salesforce field. To stop a campaign, find the lead in Outcraft and click the stop button.
What Outcraft maps from Salesforce
First name, last name:
FirstNameandLastName. If both are empty, Outcraft splitsName.Email:
Email.Phone:
MobilePhone. If it is empty, Outcraft usesPhone.
Outcraft lists the Lead and Contact fields of your account as merge tags. The default tags are first_name, last_name, email, phone, country_code, timezone, and agent_name.
Tip: Test each custom field tag on a test lead before you launch. A tag can show N/A when Outcraft cannot find the value.
What Outcraft writes back
For each call and SMS message, Outcraft creates a completed Task in Salesforce. The Task subject starts with Outcraft AI. The Task description contains the summary, the transcript or message, and a link to the lead in Outcraft. For each email, Outcraft creates an EmailMessage record.
Outcraft does not write statuses or Do Not Contact values to Salesforce.
Troubleshooting
If no campaign starts, check these items:
The Is Enabled toggle is on.
The Dispatches limit is not reached.
The record has a phone number.
The field contains the ID from Copy Campaign ID.
The campaign page has no Disconnect button for Salesforce. To stop new leads, turn off the Is Enabled toggle.
